Run The Diamond

How it works

Nobody ends up doing all of it.

Club software gets abandoned when one volunteer becomes the only person who can use it. Here the work splits the way the club already splits it, and each person sees their own part of it and no more.

Owner

Build the teams, assign the coaches, run the money.

Owners see everything. Nobody else has to.

Can

  • Set up teams and divisions in an afternoon, then hand each one to a coach.
  • Invite a single parent, or everyone at once.
  • One ledger for every fee, every family, every season.

Can’t

  • Nothing is hidden from an owner — including every message channel in the club, because they are answerable for what is said in their club's name.

Coach

Coaches see their own team and nothing else.

Not by policy — by design. Editing the address bar does not get them another roster.

Can

  • Imports their own roster from whatever spreadsheet they already keep.
  • Invites those parents, one at a time or all at once.
  • Runs their own tryout and scores it from a phone.
  • Starts a group off their team — a carpool, a tournament weekend.

Can’t

  • Another team's roster, families or contact details.
  • The club's ledger, or any family's balance.
  • What an item costs the club, as opposed to what it is sold for.

Treasurer

The ledger, the late list, and year-end in one export.

No treasurer? The same tools stay with the owner. Nothing is blocked waiting for a role nobody filled.

Can

  • Delinquency sorted by how late it is, with reminders that come from your address.
  • Money going out too: umpires, field rental, tournament entries.
  • Hand the board a year-end export instead of a shoebox.

Can’t

  • Every team's message channel. Money is club-wide; a conversation is not, and a treasurer is usually also a parent at the same club.

Parent

One balance across every child and every fee.

Parents see only their own family, in your club's colors, on your domain.

Can

  • Pays dues, uniforms and tournament fees in one checkout.
  • Enters their own children's uniform sizes, so nobody chases them.
  • Signs waivers on a phone before the first practice.

Can’t

  • Other families, other children, or the club's ledger.
  • Their child's team channel is the one they are in — not another team's.

Who sees what

Not a policy document — this is how the queries are written. A coach asking for another team by editing the address bar gets an empty page, not a roster.
