Terms of Service

This is the agreement between Run The Diamond and your organization. It's written to be read — if anything here is unclear, ask us before you agree to it.
1.Who this agreement is with
These terms are between Run The Diamond and the organization that creates an account — the club, league, or program. Throughout, “you” means that organization, not the individual signing up, and not the families who pay you.
Whoever creates the account confirms they’re authorized to agree to these terms on the organization’s behalf.
2.What we provide
Software for running the front office of a youth baseball or softball organization: registration, fee schedules, invoicing, payment collection, document signing, and related reporting. We provide the software. We don’t run your organization, set your fees, or make decisions about your athletes.
We add and change features over time. We won’t remove something you depend on without telling you first.
3.What you're responsible for
Keeping your account details accurate, controlling who on your staff has access, and the accuracy of what you publish through us — your fees, your policies, your rosters.
You’re also responsible for your own legal obligations to your families: background checks, safety training, insurance, and any requirements your sanctioning body or state imposes. We give you tools to track those. We don’t discharge them.
4.Payments, and who holds the money
Payments run through Stripe. When you connect payouts, Stripe creates an account in your organization’s name, and money families pay you settles into your bank account.
Your organization is the merchant of record. Funds never pass through Run The Diamond’s accounts. We are not holding, transmitting, or safeguarding your money at any point.
Your use of Stripe is also governed by the Stripe Connected Account Agreement, which you accept during payout setup.
5.Refunds and chargebacks are yours
Because your organization is the merchant of record, refunds you issue and chargebacks families raise are your financial responsibility, not ours. If a family disputes a payment, the disputed amount and any dispute fee come out of your Stripe balance.
We give you the tools — you can refund from your own Stripe dashboard and respond to disputes there. We don’t decide whether a refund is warranted, and we can’t issue one on your behalf.
Set a refund and drop policy, publish it to your families before they pay, and apply it consistently. Most disputes come from families who never saw one.
6.Our fees
Two separate charges, and they behave differently:
Your subscription is billed in advance, annually or monthly depending on the plan you choose. You can change or cancel it yourself at any time through the billing portal. Cancelling stops future charges; we don’t refund the remainder of a period already paid for.
Our transaction fee is 1% + $0.50 per payment, capped at $20. By default the family pays it at checkout; you can choose to absorb it instead. This is separate from Stripe’s own processing fees, which Stripe bills you directly at their published rates.
If we change our pricing, existing subscriptions keep their terms until renewal and we’ll give you at least 30 days’ notice.
7.Your data is yours
Your rosters, your families’ details, your financial records — they belong to your organization, not to us. You can export them at any time, in a format a spreadsheet will open, without asking us.
If you close your account we’ll keep your data for 30 days so you can retrieve it, then delete it, except where we’re required to retain records of transactions.
We don’t sell your data, and we don’t sell or share your families’ details with anyone. See our privacy policy.
8.Acceptable use
Don’t use Run The Diamond to collect money you aren’t entitled to, to store data you have no right to hold, or in a way that breaks the law. Don’t attempt to access another organization’s data.
We may suspend an account that is doing any of those things, or that puts other organizations at risk. We’ll tell you why.
9.Availability
We work to keep the service running and we’ll tell you about planned maintenance in advance. We don’t promise uninterrupted availability, and we’re not able to compensate for downtime beyond the subscription fees covering that period.
10.Liability
To the extent the law allows, our total liability to you for any claim is limited to what you paid us in the twelve months before the claim arose. We aren’t liable for lost revenue, lost data you could have exported, or consequential losses.
Nothing here limits liability that can’t be limited by law.
11.Ending the agreement
You can stop using Run The Diamond whenever you like — cancel your subscription and export your data. We can end this agreement with 30 days’ notice, or immediately if you’re in serious breach of section 8.
12.Changes to these terms
If we change these terms materially, we’ll email the account’s administrators at least 30 days beforehand. Continuing to use the service after that means you accept the new terms.
